Aspect Personnel is an established recruitment agency, specialising in engineering, architecture & design, construction & property and town planning sectors across Victoria.
We are continually registering flexible and reliable Administrators and Receptionists for short-medium term assignments within our client base, mainly located in the CBD and inner suburbs.
Our assignments can range between one day cover to 6 month contracts depending on our clients needs. Due to the nature of our temporary assignments, they can often be last minute!
Roles that our clients typically request include: concierge, receptionist, office coordinator, admin assistant, team admin, facilities coordinator, EA, PA and many more.
Responsibilities include but are not limited to:
- Manage the reception desk and greet all visitors in a welcoming manner
- Answer all phone calls to the main business line in a professional, prompt and courteous manner. Transfer and refer calls accordingly or take and send messages when appropriate
- Monitor the organisations general email inbox, and refer these inquiries
- Perform administrative tasks accurately
- Provide support to program and planning staff, assisting with organising meetings, preparing meeting papers and agendas.
- Provide ad hoc assistance and perform other duties as assigned
- Excellent customer service skills and experience within a professional office environment
- Strong administrative skills
- Strong attention to detail
- Proven ability to take initiative & prioritise
- Good MS Office skills - evaluated by Aspect
- Tech savvy and the ability to pick up new softwares, processes and procedures quickly
- Adobe InDesign skills are highly regarded
