The FF&E (Furniture, Fixtures & Equipment) Coordinator plays a vital role in supporting the design and delivery process by managing all aspects of furniture, fixtures, and equipment procurement and installation. This role ensures that all items are ordered, delivered, stored, and installed according to project timelines, budgets, and design specifications.
Key Responsibilities:
1. Procurement & Vendor Coordination
- Source and order FF&E items in line with design intent and project budget.
- Liaise with suppliers and manufacturers to confirm product availability, pricing, lead times, and shipping details.
- Track all purchase orders and maintain detailed procurement schedules.
- Coordinate delivery schedules to warehouse or project sites, ensuring items arrive on time and in good condition.
- Manage warehousing logistics, including stock intake, storage, and item inspections.
- Monitor inventory levels and resolve discrepancies or damages.
- Collaborate with designers, project managers, and installers to ensure FF&E elements align with project timelines and styling needs.
- Prepare and maintain FF&E schedules, installation plans, and documentation.
- Attend site installations and coordinate styling, ensuring the final setup meets design standards.
- Maintain up-to-date records of orders, deliveries, and budgets.
- Prepare handover documentation including care manuals and FF&E specifications for clients.
- Support project closeout processes including snag lists and supplier follow-ups.
- Ensure all installed items match approved samples and specifications.
- Assist with on-site styling, placement, and final presentation for photoshoots or client handovers.
- Flag any quality issues and manage timely resolutions.
