The Role
This is a dynamic, hands-on role that spans administration, project coordination, HR, and team support — perfect for someone who enjoys wearing many hats.
You'll work closely with senior leadership, project teams, and external consultants to ensure the smooth day-to-day running of the business. Key responsibilities include:
- General Administration: Answering phones, managing project files, booking new jobs, and supporting staff with ad hoc admin.
- Project Coordination & Resourcing: Maintaining project databases, tracking budgets, assisting with invoicing, and supporting the team with project delivery and reporting.
- HR Support: Onboarding and offboarding, managing probation and performance review documentation, liaising with external HR consultants, and maintaining staff records.
- Diary & Meeting Management: Coordinating calendars, meetings, and travel for the Director and General Manager; preparing agendas and taking minutes.
- Marketing & Events: Assisting with marketing content and organising team events, functions, and social activities.
- IT Coordination: Acting as the go-to for basic IT support and managing communication with external IT providers.
- Health & Safety: Maintaining H&S systems and incident registers.
- Finance Support: Assisting with expense claims, credit control, and client follow-ups as needed.
- Previous experience in an operations, studio, or office management role (particularly from Engineering, Construction or Architecture industries)
- A proactive, solutions-focused attitude with excellent communication skills.
- Strong organisational and multitasking ability.
- Familiarity with project management platforms and a keen eye for detail.
- Confidence working across a broad range of responsibilities and liaising with multiple stakeholders.
- Experience in a design, engineering, or professional services environment will be highly regarded.
