The Role
Reporting to senior management, the Operations Manager plays a pivotal role in ensuring the smooth and efficient operation of the office, supporting business growth and a high‑performing team. Key Responsibilities:
Finance & Accounts
- Manage finance and accounting systems in Xero, including invoicing, receivables, payables and bank reconciliations
- Produce accurate financial and KPI reports for the leadership team
- Oversee debtors, follow up overdue accounts, and assist with payroll, superannuation and payroll tax
- Ensure financial compliance and efficient processes
- Support the preparation of high‑quality proposals and tenders
- Maintain proposal tracking, client database and follow up outstanding submissions
- Coordinate client meetings, presentations and events
- Set up and administer projects in WorkflowMax, including budgets, variations and certifications
- Monitor timesheets, utilisation and project reporting
- Provide end‑to‑end project and client support to ensure high satisfaction
- Support recruitment, onboarding and employment administration
- Manage training, professional development and performance review administration
- Maintain accurate employee records and reporting
- Support day‑to‑day technology and systems, liaising with external providers
- Assist with continuous improvement of systems, workflows and AI adoption
- Manage office operations, supplier contracts and compliance requirements
- Maintain ISO systems, policies, insurances and registrations
- Provide executive support to Leadership
About You
- Proven experience in a similar role within an Engineering consultancy, Architecture or building construction firm
- Flexible and commercially minded, with a strong ability to think strategically and see the bigger picture
- Strong financial and administrative capability with excellent attention to detail
- Confident communicator with strong stakeholder and client‑service skills
- Highly organised, proactive, and able to work autonomously
- Interest in technology and familiarity with Project Management software
- A qualification in business, accounting, or administration is advantageous
