Our inner-city Architecture client is seeking a Studio Administration Assistant to join their support services team.
The role:
Reporting into the Studio Manager, you will be an integral part of the team providing administrative support to both internal and external stakeholders.
You will be responsible for receiving client/job enquires and taking client briefs, supporting with fee/tender/submissions proposals, project administration, subconsultant management, OHS/Compliance etc.
The successful candidate must have administration experience working in a project-driven environment, strong attention to detail, and a proactive attitude.
Duties will include:
- Answering client queries and taking in client briefs.
- Project administration including tracking and preparation of tenders, and coordination of sub-consultant engagements
- Coordinate internal meetings for project updates
- Assist the team with submission and fee proposal preparation
- Maintain database, documentation and records
- OHS and QA requirements
- Support the finance team with AR/AP, monthly invoicing, and payroll
- Ad-hoc administration duties
Skills and experience required:
- Prior administration experience in Architecture/Design industry is advantageous (or would consider experience in other disciplines – engineering, construction, planning, property development)
- Understanding or interest of heritage/conservation project work.
- Experience with Total Synergy is advantageous
- Ability to work autonomously and be self-driven
- Excellent organisation, communication and planning skills
- Strong collaboration skills and ability to liaise with staff at all levels
